OPERATIONS MANAGER

 

The Women’s Foundation of Arkansas is now seeking qualified applicants to join the Foundation’s team in ensuring economic security for women and girls through collaboration and focused philanthropic investment. The Operations Manager will be responsible for leading and expanding the organization’s internal operations. Ideal candidates can demonstrate their effectiveness in administrative organization, cross stakeholder communication, and working in dynamic environments. As a critical member of the organization’s team, the Operations Manager will create and lead project management plans to aid in the execution of strategic priorities of the WFA.

The Operations Manager position is based in Little Rock, AR. POSITION SUMMARY

The Operations Manager is a full time essential team member for the Women’s Foundation of Arkansas. This position is critical in supporting the execution of the organization’s strategic plan and priorities and managing the administrative operations of the Women’s Foundation of Arkansas. This position leads the streamlining of communication and collaboration between the organization’s departments and various stakeholder groups. This position ensures that the organization is high-functioning and stewards the organization’s internal process and procedures so that we are delivering on our mission and goals of supporting the economic mobility of women and girls.

Reports and Responsible To: WFA Chief Executive Officer

Salary Range: $45,000-$50,000

DUTIES AND RESPONSIBILITIES

Reporting to the Chief Executive Officer and collaborating closely with board, staff, and contractors, the Operations Manager serves as a liaison to the Chief Executive Officer, and is empowered to evaluate, manage, and create internal processes and procedures ensuring the organization is able to meet strategic goals and objectives. The position has specific responsibilities for the management of organizational operations and communications, including but not limited to the individual items listed below;

 

Internal Operations

  • Provide direct support to the position of Chief Executive Officer, manage internal and external calendars
  • Lead weekly team meetings
  • Assist Director of Development and Director of Strategic Initiatives with various administrative tasks
  • Serve as point of contact for general inquiries via phone and email
  • Provide general office administration, i.e.  purchase of and maintaining office resources enabling team to be effective 
  • Facilitate the onboarding of new WFA Stakeholders, such as staff, Board Members, and Contractors
  • Manage all software platforms and their respective contracts utilized by the organization to streamline communication, and aid in delivery of strategic priorities
  • Oversee WFA Vendor Contracts and relationships
  • Manage day-to-day financial process and procedures of the WFA and on behalf of the CEO
  • Act as liaison to the WFA Board of Directors, prepare board meeting packets, take minutes at Executive and Board meetings, promptly distribute reports to board members 
  • Lead WFA staff in office protocol and day-to-day operational management
  • Other duties as assigned that support the goals and objectives of the WFA

 

MINIMUM QUALIFICATIONS / REQUIREMENTS

Education

  • Bachelor’s degree is preferred, but educational requirements are not a deterrent for individuals with experience, expertise, and desire to excel in this position. 

 

Experience

  • 3-5 Years in a professional setting
  • Demonstrate high functioning multi-tasking, internal operations support, and honed organizational skills
  • Project Management, and or related experience working in fast-paced, multi project environments, and can speak to role in that environment
  • Candidate must demonstrate ability to work in a professional environment, either through prior work experience or relevant volunteer roles

 

Skills

  • Full Proficiency in Google Suite, Microsoft Office Suite, and ability to learn and navigate software such as Slack, WordPress, and Constant Contact 
  • Ability to prioritize workload, continually manage multiple tasks and meet deadlines
  • Ability to interact and engage with stakeholders in all mediums (in person, by telephone, by email) 
  • Sound judgment and confidentiality 
  • Strong team player with ability to collaborate with staff 
  • Passion for gender and/or economic equity
  • Highly adaptable in a small team, self-directed environment
  • Problem-solving and critical thinking
  • Superior organizational skills, including multitasking and time management
  • Excellent communication skills, including written and verbal. Strong presentation skills, with competence in public speaking and networking.
  • Demonstrated experience in website and social media management a plus but not mandatory.
  • Commitment and desire to the WFA Mission and helping the organization achieve its goals and objectives.
  • Ability to work outside 9 to 5 schedule, some night and weekend work required depending on WFA calendar. 

 

 

PHYSICAL AND OTHER REQUIREMENTS

The position requires intermittent sitting, standing, bending and the ability to move freely throughout the buildings including using stairs. Must have visual and hearing acuity and clear speech to perform the job effectively.

Requires a willingness to work evenings and weekends, when necessary. Must have reliable transportation.
